Anyone who gives you a fixed price for “custom software” before understanding your workflow is guessing, and you should be skeptical of the guess. The honest answer to “how much does this cost” is: it depends on four things that vary a lot between projects that otherwise sound similar — scope, integrations, AI depth, and timeline.
The four cost drivers
Scope is the biggest lever. A single-workflow internal tool for one team looks very different in cost from a multi-role platform covering several departments with different permission levels. The number of screens, user roles, and distinct workflows a system needs to support scales the effort roughly linearly, sometimes faster once workflows start interacting with each other.
Integrations are the most commonly underestimated driver. Connecting to your CRM, payment provider, booking system, or internal APIs sounds like a footnote but is often a third of the total effort — especially when the systems you’re integrating with have inconsistent or poorly documented APIs, which is the norm rather than the exception.
AI depth matters if any part of the system involves AI features. What moves you toward the lower or higher end of a range
A handful of practical factors reliably move a project toward the lower end of its range: a single clear workflow, minimal third-party integrations, no AI component, and a realistic (not compressed) timeline. Questions worth asking before you commit
If a quote comes back suspiciously fast or suspiciously fixed, three questions tend to surface whether it was actually scoped:
- What specifically is included in this number, and what would trigger a change order? A real scope should be specific enough to answer this precisely.
- How many integrations does this assume, and what happens if one turns out to be harder than expected? Vague answers here are a red flag.
